Depending on who you listen to, AI is either about to run your entire business or it is a toy that makes things up. Neither is true. AI is a tool that is genuinely good at some kinds of work and genuinely wrong for others, and the difference is not complicated.
Where AI actually helps
- Answering repeated questions. If your team answers the same questions over and over, from customers or from each other, AI can handle the common ones and hand the unusual ones to a person.
- First drafts. Replies, descriptions, summaries, and follow-up messages. AI writes a decent first version fast, and a person makes it right.
- Making sense of information. Summarizing a long thread, pulling the key details out of a form submission, or answering questions about your own business data in plain language.
- Sorting and routing. Reading what came in, deciding what kind of request it is, and sending it to the right place, so a person does not have to triage everything by hand.
Where it does not help
- Judgment calls that carry risk. Decisions about money, people, and commitments need a person who is accountable for them.
- Work that must be exactly right every time. Calculations, payments, and record keeping should be regular software, which does the same thing every time, not AI, which can vary.
- Fixing a broken process. This is the big one. If information is scattered and steps depend on memory, adding AI on top does not fix the mess. It just makes the mess faster.
The order matters
The businesses that get real value from AI usually fix the plumbing first. Information flows into one place, repeated steps happen on their own, and then AI is added where it earns its keep: answering questions, drafting, summarizing, and routing.
