When Has Your Spreadsheet Become a Software Problem?

Spreadsheets are where every business starts

There is nothing wrong with running your business on spreadsheets. They are flexible, they are free, and everyone knows how to use them. Most businesses we work with started exactly there, and for a long time it was the right choice.

The problem is that spreadsheets do not complain when they are overloaded. They just quietly become harder to manage, and because the change happens a little at a time, it is easy to miss the moment they crossed the line.

The signs it has crossed the line

• More than one person updates it, and nobody is sure whose version is right.
• Information gets copied into it from email, text messages, or other software by hand.
• There is a tab, a formula, or a color system that only one person understands.
• Important steps depend on someone remembering to do them.
• When the business gets busy, things get missed, and you find out later.
• You cannot answer a simple question, like the status of an order or a booking, without opening three things.

If a few of those sound familiar, the spreadsheet is no longer just a spreadsheet. It has become the system your business runs on, and it was never designed to be that.

What it is actually costing you

The cost is rarely one big failure. It is small, daily losses. Time spent re-typing the same information. Mistakes that are found late, after a customer noticed. Work that stops when the one person who holds it all together is out. A constant, low-level worry that something is slipping.

This does not automatically mean you need an app

Here is the part most software companies will not tell you: the answer is not always new software.

Sometimes the spreadsheet can stay, and the fix is connecting it to the places the information comes from, so nobody copies things by hand. Sometimes a few repeated steps can happen automatically, like reminders and follow-ups. And sometimes the work really has outgrown general tools, and the right answer is one simple screen built around how your business actually runs.

The point is to start with the problem, not the product.

A simple way to check where you stand

Pick the one spreadsheet you worry about most and ask three questions. Who touches it? What gets copied into it or out of it by hand? And what breaks when the busiest week of the year hits? The answers usually point straight at the real problem, and the real problem is usually smaller and more fixable than it feels.
